MS Access: Groups

The navigation pane lists the objects of the database. This can be grouped by the object types. The order they will appear is Tables, Queries, Forms, Reports and Macros.

In a relational database, you may want to organize the list by what they are related to. For example, if you have a bookstore company. You are using Access for your inventory, customers, invoices, and vendors. Instead of grouping all the tables together and all the queries together, etc. we could group all the objects that deal with books and the vendors. Another group could be objects which deal with customers.


To create a group
  1. Right-click on the object you want in a group. 
  2. Select Add to group... }
  3. A menu of groups available, if there are any, is listed
  4. At the bottom of the list is New Group
  5. Click New Group
  6. A new group appears at the bottom named Custom Group 1
  7. The object is below it highlighted in pink.

To move an object to a group
  1. Right click on the object
  2. A contextual menu appears, as shown on the right
  3. Select Add to group... } near the bottom of the menu
  4. A list of available groups will now appear
  5. Click on the group you would like it to move to
  6. It is now listed under that group.

To remove an item from a group
  1. Right click on the object you want to remove in the group you want it removed from
  2. The contextual menu appears, as shown on right
  3. Select Remove
  4. The item is now removed from that group. It is not deleted from the database.

To rename a group
  1. Right click on the Group name
  2. The contextual menu appears, as shown on right
  3. Select Rename 
  4. The name of the group goes blue, as shown below
  5. Type the name you would like the Group to now be called.
  6. Press Enter. The group has been renamed.
